Patient Care Coordinator
The Patient Care Coordinator is an important face and voice of our practice, managing patient flow, appointments, and maintaining communications across various channels—whether face-to-face, over the phone, or through messaging platforms. They are essential in creating a welcoming environment, guiding patients through the process from initial contact to treatment completion, and fostering positive connections with referring offices.
Key Responsibilities:
Serve as the primary point of contact for patients, handling scheduling, coordinating follow-ups, and managing inquiries to ensure a seamless patient experience.
Prepare patient charts, verify insurance information, and facilitate pre-authorization and billing processes.
Communicate effectively with patients to explain treatment plans, payment options, and office policies, ensuring all patient interactions are positive and professional.
Act as the liaison to referring dentists and dental offices, establishing and maintaining strong, positive relationships through regular communication and follow-up.
Be involved in training and marketing campaigns, including visiting referring dental offices and assisting with social media ad video production.
Work closely with the Endodontist and Dental Assistants to ensure appointment schedules are optimized, reducing patient wait times and maintaining smooth clinical operations.
Participate in team-building activities, training, conferences, and study clubs, including occasional after-hours events, as part of professional and team development.
Pursue certification through the American Association of Dental Office Management (AADOM) within a reasonable timeframe to strengthen management skills and industry knowledge.
Track treatment plans, conducting follow-ups with patients for post-treatment care and ensuring they are informed of their next steps.
Required Skills and Experience:
Minimum of 1-2 years in a dental or healthcare setting, with an understanding of dental terminology and office practices.
Proficiency in dental management software (we use TDO).
Strong organizational and multitasking skills with a high level of attention to detail.
Excellent communication skills, both in-person and through digital platforms, with a genuine commitment to patient service.
Ability to adapt to a fast-paced environment, with a proactive and team-oriented mindset.
